Your privacy is important

This statement outlines the Orbis Support Services Pty Ltd (“Orbis”) policy on how Orbis uses and manages personal information provided to or collected by it. Orbis is bound by the Australian Privacy Principles contained in the Commonwealth Privacy Act and is compliant with the Privacy Amendment (Enhancing Privacy Protection) Act 2012. Orbis is also bound by the Victorian Health Privacy Principles which are contained in the Health Records Act 2001. Orbis may, from time to time, review and update this Privacy Policy to take account of new laws and technology, changes to Orbis operations and practices and to make sure it remains appropriate to the changing legal environment.

What kind of personal information does Orbis collect and how does Orbis collect it?

The type of information Orbis collects and holds includes (but is not limited to) personal information, including sensitive information. Sensitive information is a type of Personal Information that is an opinion about an individual’s racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, memberships of a trade union or other professional body, sexual preference or practices or criminal record. Sensitive Information includes Health Information, which is information or an opinion about the physical, mental or psychological health or ability of an individual. Orbis will generally collect personal information held about an individual by way of interviews, correspondence, by telephone, by email, via the Orbis website www.orbissupport.com.au, from other publicly available sources and from third parties.

How will Orbis use the personal information you provide?

Orbis will use personal information it collects from you for the primary purpose of collection, and for such other secondary purposes that are related to the primary purpose of collection and reasonably expected, or to which you have consented, or where required or authorized by law.

Personal Information provided by other people

In some circumstances Orbis may be provided with personal information about an individual from a third party. In such cases we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.

Who might Orbis disclose personal information to?

Orbis may disclose personal information, including sensitive information, held about an individual:

  • For medical treatment or emergency;
  • To outside agencies with your or your representative’s permission;
  • With written consent from a person with lawful authority; or
  • When required by Commonwealth Law.

Management and security of personal information

Orbis staff are required to respect the confidentiality of personal information and the privacy of individuals. Orbis has in place steps to protect the personal information Orbis holds from misuse, loss, unauthorised access, modification, interference or disclosure by use of various methods including locked storage of paper records and passworded access rights to computerised records. Under our destruction and de-identification policies, your personal information that is no longer required will be de-identified or destroyed. We will retain records relating to the provision of your services in accordance with the Record Principles 2014, which is for 3 years after the 30th June of the year in which the record was made. This includes records relating to individuals who we have permanently ceased providing services to.

Updating and accessing personal information

Orbis endeavours to ensure that the personal information it holds is accurate, complete and up-to-date. A person may seek to update their personal information held by Orbis by contacting info@orbissupport.com.au.

You have the right to check what personal information Orbis holds about you.

Under the Commonwealth Privacy Act and the Health Records Act, an individual has the right to obtain access to any personal information which Orbis holds about them and to advise Orbis of any perceived inaccuracy.

There are some exceptions to this right set out in accordance with the Privacy Data Protection Act 2014 (VIC). To make a request to access any information Orbis holds about you, please contact info@orbissupport.com.au.

Orbis may require you to verify your identity and specify what information you require. Although no fee will be charged for accessing your personal information or making a correction, Orbis may charge a fee to retrieve and copy any material. If the information sought is extensive, Orbis will advise the likely cost in advance.

If you would like further information about the way Orbis manages the personal information it holds, or if you have any concerns, complaints or you think there has been a breach of privacy, please contact:

Then, if you feel that your concerns have not been satisfactorily dealt with, we will meet with you to discuss further.
